Privacy Policy

This Privacy Policy explains how ClearLine (“ClearLine”, “we”, “us”) collects, uses, discloses and retains information in connection with our pool service software (the “Service”). It applies to our websites and applications.
1. Our role
ClearLine is a business-to-business service. Two different relationships matter here:
- Where we act for ourselves. For the account information of the operators who subscribe, and for our own website analytics and diagnostics, we determine how and why information is used.
- Where we act on an operator’s behalf. For information an operator enters about their customers, properties and personnel, the operator directs the processing and is responsible for its lawfulness — including any notice or consent owed to those individuals. We process it to provide the Service. Under California law we act as a service provider for that information. If you are an operator’s customer or employee and want your information corrected or deleted, contact that operator; we will assist them.
2. Information we collect
You give us
- Account information — name, email address, password, company name, role, phone number, and professional certification details if you enter them.
- Customer and property records — names, contact details, service addresses, gate codes, access notes, pool characteristics and service history that you enter or import.
- Service records — chemical readings, treatments, notes, equipment details, compliance events and invoices.
- Images and audio — photographs you capture (including test strips, equipment labels, safety data sheets and receipts) and voice recordings you make for transcription.
- Payment information — handled by Stripe. We do not receive or store full payment card numbers.
Collected automatically
- Location information. When an operator enables route tracking and a technician grants permission, the mobile app records the technician’s device location periodically during an active route, including in the background. It is used to show live route progress, to derive arrival and departure times at stops, and for nothing else. It can be stopped at any time in the app and revoked in device settings.
- Usage and device information — app and feature usage, device and operating system type, IP address, timestamps, and diagnostic data including crash reports.
3. How we use information
- To provide, maintain and secure the Service.
- To calculate dosage suggestions, evaluate readings against configured thresholds, read submitted images, transcribe audio, optimize routes and generate documents.
- To process subscriptions and collect fees.
- To send transactional and service messages, and notifications you or your operator configure.
- To provide support, investigate incidents and prevent abuse.
- To understand usage and improve the Service, and to produce aggregated or de-identified statistics that do not identify any individual.
- To comply with law and enforce our Terms.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use your customer records or service data to train publicly available AI models.
4. Automated processing
The Service uses automated and machine-learning techniques to read images, transcribe audio, generate explanations and evaluate readings against configured thresholds. Submitted content is sent to the AI providers listed below for processing. These outputs are informational, may be incorrect, and are not a substitute for professional judgment. No legal or similarly significant decision about any individual is made solely by automated means.
5. Service providers we share with
We share information with the providers below, only as needed for them to perform their function and under contracts restricting their use of it. We also disclose information when required by law, to protect rights and safety, and in connection with a merger, acquisition or sale of assets.

6. Retention
- Images submitted for analysis are deleted approximately ninety (90) days after capture by an automated job; the extracted data is kept as part of your service records.
- Location history is trimmed automatically on a rolling basis; derived arrival and departure timestamps are kept with the service record.
- Account, customer and service records are kept while your account is active and for a reasonable period afterwards, then deleted or de-identified.
- Security, audit and billing records are kept as long as needed for legal, accounting and dispute-resolution purposes.
7. Security
We use measures intended to protect information, including encryption in transit, encryption at rest for particularly sensitive fields such as gate codes and access notes, database-level access isolation between organizations, optional multi-factor authentication, and access logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We do not currently claim any third-party security certification.
8. Your rights
Depending on where you live, you may have the right to know what personal information we hold, to access or receive a copy of it, to correct it, to delete it, to limit the use of sensitive information, and not to be discriminated against for exercising these rights. California residents have these rights under the CCPA as amended by the CPRA.
To exercise a right, email support@clearlinepools.app. We will verify your request and respond within the period required by law — generally forty-five (45) days, extendable once where permitted. You may use an authorized agent.
If your information was entered by a pool service operator who uses ClearLine, direct your request to that operator, who controls it. We will assist them in responding.
9. Children
The Service is for business use and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe we have, contact us and we will delete it.
10. Location of processing
ClearLine is operated from the United States and information is processed and stored there. If you access the Service from elsewhere, you understand the information is transferred to the United States.
11. Changes
We may update this Policy. If a change is material, we will provide reasonable notice by email or in the Service before it takes effect, and we will update the effective date above.
